This policy applies to chronoflow.com.au and the ChronoFlow web app. It covers personal information you provide to us or that we collect when you use the Service.
Information We Collect
Account & Tenant Information
- Name and contact details (e.g., email address, phone number)
- Company/tenant name and role
- Account credentials (passwords are hashed)
Billing
- Billing contact details, plan and transaction metadata
- Payment processing is handled by our provider (e.g., Stripe). We do not store full card numbers.
Product Data You Enter
- Client names and prepaid hour packages
- Time entries (dates, hours, descriptions)
- Team member details and roles
Technical & Support
- IP address, device/browser type, pages used, timestamps
- Diagnostics (e.g., crash/error logs)
- Support messages and attachments you send us
How We Use Your Information
- To provide, operate and secure the Service (authentication, roles, logging, backups)
- To show balances, forecasts, reports and alerts you request
- For billing and account administration (invoices, subscription notices)
- To respond to enquiries and provide support
- To improve the Service and understand usage in aggregate

Your information may be stored or processed outside Australia by our providers noted above (for example, in their global infrastructure regions). We take reasonable steps to ensure overseas recipients protect it to standards comparable to the APPs, including contractual safeguards and access controls.
Data Security
We use TLS encryption in transit, encryption at rest for production databases and backups, role-based access, least-privilege administration, audit logging, and routine backups. No method is 100% secure, but we work to protect your information.
Retention & Deletion
We keep personal information only as long as needed for the purposes above. Inactive trial accounts may be deleted after a reasonable period (e.g., 90 days). You can request deletion of your account and associated data (subject to legal record-keeping requirements).
Your Rights (Access & Correction)
You can view and update most account information in the app. You may also request access to, or correction of, personal information we hold about you by contacting us. We will respond within a reasonable time.
Children
The Service is for business use and is not intended for children under 16. We do not knowingly collect personal information from children under 16.
Complaints
If you have a privacy concern, please contact us first using the details below. We aim to respond within 30 days. If we cannot resolve your complaint, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
